Job title Executive Assistant

Reports to HR Director, Founder, and President

Job Purpose

The Executive Assistant is a skilled administrative professional who provides a wide range of support services to Glynn Electric’s Founder, President, CFO, and Director of Business

Development. The goal of the Executive Assistant is to ease the workload of the C-Suite team by managing calendars, taking meeting minutes, assisting with event coordination, administrative tasks, and handling personal requests. This full time, salaried position, may require working off hours on occasion.

Job Duties and Responsibilities (including and not limited to)

  • Ensure accurate meeting minutes are recorded during every meeting and minutes are dispersed to all necessary parties same day
  • Translate minutes into action items and follow up to ensure completion of assigned tasks
  • Monitor, screen, and respond to incoming communications for Founder and President.
  • Schedule meetings and keep up to date calendars for Founder, President, CFO, BD and

Executive Team as needed while taking into consideration each executive’s personal scheduling preferences

  • Track all employee milestones and events requiring cards/gifts to make sure these items are sent and arrive in a timely manner. Such items include: weddings (gift), babies (gift),

1st time home purchases (gift), and bereavement (flowers/cards)

  • Communicating the above with employee’s manager to ensure they are aware of every event or milestone
  • Prep company thank you cards to be completed by President
  • Bi-weekly and monthly customer tracking
  • Coordinate all business and personal travel arrangements for Founder, President, and

Executive Team

  • Coordinate the delivery of lunch and refreshments for on and off-site meetings as requested
  • Planning and execution of all company events such as, community volunteering opportunities, company meetings, and company parties.
  • Greet and offer refreshments to all visitors onsite for executive level meetings

Job purpose

The electrical engineer is responsible for the design of a code compliant electrical systems from start to finish. Knowledge in all phase of design/construction; healthcare, commercial, residential, cad, and administration. Design experience to include power distribution, lighting, general power, low voltage systems, and solar.

Duties and responsibilities

· Set up jobs in the One drive and enter all information such as cad files, documents, code research, comcheck, PDF’s, energy codes, Photometric layout, etc.

· Set up cad files and keep updated with latest information and changes.

· Research all codes for a compliant design.

· Call local authorities for any essential information needed for design, such as utility company, electrical inspector, fire prevention, etc.

· Load calculations.

· Fill out service request applications and submit.

· Shop drawing review and process.

· Review proposal, scope, architectural drawings, mechanical, plumbing, sprinkler, etc. for all the latest information to incorporate into design

· Fill out narratives, construction documents, permit drawings and stamp as needed.

· Capability and willingness to learn, maintain, and update codes and requirements.

· May require working occasional nights or weekends as needed to meet deadlines.

Qualifications

  • Ensure that everyone within the Division Manager’s span of control is perfectly aligned with the organizational objectives.
  • Prioritization of opportunities to improve project execution by establishing and maintaining a culture of safety and continuous improvement within the span of control.
  • Facilitate inter-department coordination associated with project execution.
  • Management of Division including key elements of talent development, project execution and financial management.
  • Oversee manpower requirements and allocation at all levels within division, work with other divisions to do the same with the best interest of the Company in mind (e.g., PM’s, Foremen, Field, Fab)
  • Ensure effective communication and operational relationships with the field staff.

Work Environment

  • The Division Managers are responsible to ensure that Glynn builds great projects that delight customers, are profitable and cash positive.
  • Ensure that everyone within the Division Manager’s span of control is perfectly aligned with the organizational objectives.
  • Prioritization of opportunities to improve project execution by establishing and maintaining a culture of safety and continuous improvement within the span of control.
  • Facilitate inter-department coordination associated with project execution.
  • Management of Division including key elements of talent development, project execution and financial management.
  • Oversee manpower requirements and allocation at all levels within division, work with other divisions to do the same with the best interest of the Company in mind (e.g., PM’s, Foremen, Field, Fab)
  • Ensure effective communication and operational relationships with the field staff.
  • Responsible to establish direct, unambiguous and clear communication with Senior Executives (President, Founder, CFO and other Managers.

Work Environment

This is both a Remote and Office Role. If all essential functions are being met there are no requirements to be in the office. This is at the discretion of the President.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The incumbent occasionally walks and stands for long periods of time. The position requires good manual dexterity (hand, hand with arm, two hands) and multi-limb coordination.

Position Type / Expected Hours of Work

This is a full-time, exempt position. The Salary is based on 40 hours normally.

Travel

This role requires local travel. Vehicle Compensation and Gas card will be provided.

Required Education and Experience

  • 5+ years of experience in the Electrical Industry
  • Experience in all aspects of running projects from design to final inspections.
  • Intermediate skill set in Microsoft Word and Excel.
